Reservation Policies for the Ecogreece tours

Reservations: We suggest reserving any of our tours at least 6 months in advance since group size is limited and many trips sell out early. Keep in mind that airlines usually sell out of their best fares many months in advance. You can either make your reservation on our secure server website or you can call us at 1-877-838-7748 and we will confirm your $300 per person per trip deposit reservation, with your Visa or Master Card. The balance of the trip cost is due 90 days prior to the trip departure and may be paid by check, payable in U.S. funds to EcoGreece, LLC. money order or credit card. If final payment is not paid when due, EcoGreece, LLC reserves the right to treat the reservation as canceled. A late fee of $50 applies to reservations made within 30 days of the trip departure to cover administrative costs. Please remember, if you ever need any assistance leading up to, during or following the trip, we are only a phone call or e-mail away.

Confirmation Packages: Upon receiving your reservation, we send you information on what to bring, how to prepare for your trip, travel directions, pre and post trip hotel suggestions, a detailed itinerary, suggested reading material, and a trip cancellation insurance application. We do require that you return the Arrival and Departure form, Release and Assumption of Risk Form, and the Guest Questionnaire, at least 90 days prior to your trips departure. If the signed Release and Assumption of Risk form is not received by the EcoGreece office by the tour start date, EcoGreece, LLC. reserves the right to treat the reservation as canceled.

Cancellation Insurance: We strongly urge you to take out the trip cancellation insurance.We also recommend that all clients carry medical and personal insurance to cover hospital and other medical expenses, as well as loss of baggage and personal belongings. Insurance must be purchased on or before your final payment due date.

Cancellations & Refunds: All tour cancellations must be in writing, and received within the times specified below. Because we are required to make financial commitment to lodging facilities well in advance, and because we incur costs, losses and damages depending on when reservations are canceled, the following charges per person, per tour, must be made for cancellations received by us during the following times:

•Cancellations received by 91 days prior to the start of the trip: $100 per person.
•Cancellations received between 90-61 days prior to the start date if the trip: 25% loss of trip price.
•Cancellations received within 60 days of the start of the trip: 100% loss of trip price.

Exceptions to this cancellation policy cannot be made for any reason, including personal emergencies, weather or illness.

You may transfer your reservation from one to another (in the same calendar year) by notifying us in writing 91 days prior to the trip for a transfer fee of $50.00 per person, after which time our cancellation policy applies.

In the rare event EcoGreece, LLC. has to cancel a trip due to low enrollment within 60 days of the departure date, you will receive a full refund. EcoGreece, LLC. Reserves the right to cancel any tour date or change the itinerary to acts of nature and /or any other occurrence out of our control. EcoGreece, LLC. is not responsible for any additional expenses that may be incurred by a guest in relation to a canceled tour. EcoGreece, LLC. Is not responsible for any costs incurred due to travel delays, flight cancellations, or sickness. EcoGreece, LLC. Is not responsible for penalties which may be incurred due to the purchase of nonrefundable airline tickets.

Physical Disabilities: For those requiring special attention, your treatment or limitations must be disclosed to Ecogreece at time of reservation. The right is reserved to refuse any person whose condition may be a hazard to himself or others. The trip leader has the right to disqualify anyone at any time if he/she feels that person is at risk.

Trip Member Responsibility: •As a trip member you have a responsibility to EcoGreece and to other tour members that include:
•Selecting a trip that is appropriate to your interests and ability and in being in sufficiently good health to undertake the trip.
•Preparing for your trip.
•Acting in an appropriate and respectful manner in accordance with customs and laws of the areas visited.
EcoGreece reserves the right to accept, retain or decline any tour member at any time for any reason. In such case, a refund equal to the actual cost of the unused services is the limit of EcoGreece's responsibility.

Extra Night Reservations: The trips start and end on the individual trip pages. If you plan on arriving early in the starting city we may be able to arrange a room for you at the starting hotel. Hotel space is limited, but Ecogreece can request extra night reservations on your behalf at any time.
